How Yard 14 handles information about you.

Who we are
Yard 14 is a trading name of Aerial Empire Ltd, registered in England and Wales, company number 09085057, VAT number GB 311 0644 58. Our registered office is Spitalfields House, Stirling Way, Borehamwood, WD6 2FX.
We decide how the information in this notice is used, which makes us its controller. Write to hello@yard14.com about anything here.
When you visit this site
Our host, Vercel, receives what every website receives, such as your IP address and browser, so it can deliver the pages and keep them secure.
We count visits and measure loading speed with Vercel’s analytics, which set no cookies and record nothing that identifies you.
The site sets no cookies of its own. It keeps a few small notes in your browser so its opening animations play once a visit, and they clear when you close the tab.
When you write to us
We use your name, email address and what you tell us to reply and, if we work together, to run the work. Our email is hosted by Microsoft.
When we send you a proposal
Each proposal is a link made for one person, at proposals.yard14.com. We see when it is opened, how long each part is read, the kind of device used and any answers you give, so we know when to follow up and what to explain. A scrambled copy of your IP address tells one visit from another.
A cookie remembers the device you read on, so the link keeps opening for you, and lasts up to 400 days. On a new device the link asks for an email address and sends a code to it, so it stays private.
If you accept, we keep your name, role, email address, company, the time, your IP address and a fingerprint of the document, as the record of what was agreed.
Clients and suppliers
We keep the contact details, agreements, invoices and payments of the businesses we work with, to deliver the work and to keep the accounts the law requires.
To prepare proposals and agreements, we look up public information about companies, for example at Companies House and on their own websites.
Work we do for clients
When we build or run something for a client, such as an app, a website or an outreach campaign, we handle information on that client’s instructions, and the client’s own privacy notice applies. If a client of ours contacted you through something we run, ask them, or write to us and we will pass your message on.
Our own accounts
Our books are kept in accounting software, currently QuickBooks Online and QuickFile. Our own app connects to them through each provider’s official connection. It reaches our company’s records only, its keys stay on our own computers, and what it reads is used only to keep our accounts.
Who else sees it
Only the providers that run our work: Vercel and Supabase host and store our sites, Microsoft runs our email and calendar, Anthropic’s Claude helps us write and organise our work, and our accountant keeps our books. We also share information where the law requires it, for example with HMRC.
We never sell information about you, and never use it for advertising.
Some of these providers are based in, or reach information from, the United States. Those transfers are covered by the UK’s data bridge with the US or by contract terms the UK approves for them.
Why we are allowed to
- To do work you have asked for, or to prepare it: our contract with you.
- To keep accounts and records: the law requires it.
- To run and secure the site, reply to you, follow up proposals and look up companies: our legitimate interest in running the business, weighed against yours.
How long we keep it
- Reading records on a proposal: twelve months after it is accepted, declined or expires.
- Signed agreements: three years after the contract ends.
- Invoices and accounts: six years after the end of the financial year they belong to, as tax law requires.
- Other emails and contact details: up to two years after we were last in touch.
Your rights
You can ask for a copy of what we hold about you, and ask us to correct it, delete it, limit how we use it, or pass it to you or another business in a common format. You can object to any use that rests on our interests, and we will stop contacting you whenever you ask.

If you are unhappy with how we have handled your information, tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes
When the way we handle information changes, we update this page and the date at the top.
